Preparing a Mailing
Taking the time to properly prepare your mailing can save you money and help us process your mailing more quickly.
Tips for Preparing a Mailing:
- Consult us about mail piece design early in the process. We will gladly review a preliminary design of your mail piece to ensure that it meets postal regulations. There is no charge for this service.
- Consider using our mail list verification service. For a small fee, we will correct address information—eliminating duplicates and updating ZIP Codes—and sort your mail according to USPS requirements.
- Make sure you are using the proper postage imprint.
- Follow our addressing guidelines.
- Save on postage costs by sending your mail via Nonprofit
Standard Mail whenever possible.
- Include the proper meter card with your mailing, if necessary.
- Separate your outgoing mail into the proper categories: international, domestic, and campus. (Campus mail should be separated by campus location and then by building within each campus.)
- Refer to the Hazardous Materials Shipping Guidelines (pdf) if you are shipping hazardous materials.
